COURSE BOOKING INFORMATION FOR CLIENTS

Cancellation of Courses

We understand that sometimes situations change, and courses may need to be cancelled. Our cancellation policy is:

  • Client cancels course with greater than 2 business days’ notice – no cancellation fee applies

  • Client cancels course with less than 2 business days’ notice and prior to training – 50% cancellation fee applies

  • Client cancels course on the day of training, or does not give notice of cancelled course – full course fee applies

  • If Allens Training Pty Ltd is required to cancel a course the customer will be entitled to a full refund or transfer to a course on another date.

  • Allens Training Pty Ltd is not liable for any costs incurred by our client e.g. employee wages if a course is cancelled for any reason.

  • If the client cancels a course and travel expenses have already been incurred by Allens Training Pty Ltd, the client will be required to pay for these expenses.

To cancel a course, please ensure that you email AND phone us as soon as possible to ensure that we can cancel the training with the scheduled trainer and assessor.

This cancellation policy applies to all bookings unless there is a formal contract in place that differs from this.

Important Information for Clients

Student numbers: If you have more participants attending than what is outlined in your confirmation email. Please let your Allens Training Pty Ltd contact know immediately.

Room set up: If training is being delivered at your premises, please ensure that the room is large enough to host the number of participants booked into the course. This means making sure there are enough seats and tables available and that the space is large enough to accommodate the practical components of training (for courses where this is required). Other equipment such as a projector or other audio-visual equipment (i.e. TV) and whiteboard is preferable.

The room must also ensure social distancing measures are met and we will discuss this with you at the time of booking.

Timeframes: Course start and finish times will be agreed with you, and all participants must stay for the duration of the course. It is important that course participants arrive on time and stay till the end of the course. For full face to face courses, participants that arrive more than 15 minutes after the course has started or leave before the end of the course will not be issued a statement of attainment.

For the online with practical assessment courses, participants must be on time as the session is short and cannot account for participants arriving late.

After hours contact: Allens Training Pty Ltd operating hours are Monday-Friday from 830am – 5pm (AEST). If you are required to urgently contact Allens Training Pty Ltd outside of these hours, this can be completed by calling or messaging our after hours contact – 07 5390 5552.

Contact to this number should only be for items that need to be addressed before the next open of business hours. These may include urgent items such as change of location OR cancellation of course that evening or following morning. All other contact should be made through business hours on clientsservices@allenstraining.com.au or 1300 559 064.

Certificates: After the course has been conducted, each participant will be sent an email advising that their certificate can be downloaded from their Training Desk portal.

The client contact for each booking will also be able to download these from their Training Desk portal. If you would like hard copy certificates, these can be requested from Allens Training Pty Ltd via email.

Individual payments and minimum course fees: For clients that make bookings where participants are paying Allens Training individually, the following apples:

  • If the minimum number of participants or minimum fee is not met, the client will be invoiced the difference to make up the minimum fee.

  • Where participants attend that have not paid, the client will be invoiced for these fees and is responsible for paying.


Important Information for Course Participants

Please ensure the below information is forwarded onto each participant of the training, before they attend. This ensures that they are prepared for the training session and know what to expect on the day.

Course Timeframes: Courses are booked with set start and finish times. Participants who arrive late to the training course, or are required to leave before the set finish time, will be unable to participate in the training. If a participant believes that you are unable to attend the training for the duration of the course, please ensure you contact Allens Training Pty Ltd to discuss options.

Pre-course study: If the course includes pre-course study this will be provided to each participant online after they have enrolled. It is important that this is completed.

For participants completing an ‘online with practical assessment’ delivery mode course, it is essential they complete the online learning prior to attending your short practical assessment.

Unique Student Identifier: Any participant without a USI will not be eligible to receive a statement of attainment.

The Federal Government requires all participants enrolled in accredited training to hold a Unique Student Identifier (USI) prior to any certification being issued by the RTO. The USI account is free to activate and use. For employment and study purposes, the USI account will record all your accredited training from 1 January 2015. To obtain a USI please visit http://www.usi.gov.au.

Proof of identity: Course participants will need to provide Identification on the day of the course. Identification can include driver’s licence, passport or Medicare card.

Course and participant requirements: There are often physical requirements for students when undertaking accredited training. For example, all first aid training courses have contained within the Training Package a requirement that CPR must be demonstrated on the floor for a set period time. There can be no exceptions to these Australian Government requirements, which are clearly written into the Training Package. Therefore, students who are unable to satisfy the physical requirements of the course cannot be deemed competent or issued with a statement of attainment, even if the qualification is a necessary part of their employment conditions.

We recognise that all students are individuals and may have different learning needs. Prior to the course date, please notify Allens Training Pty Ltd if you may have a barrier to learning, so our trainer can adjust the training appropriately to meet your needs.

Unique Student Identifier (USI)

Under legislation, you must have a USI to receive a certificate for nationally recognised training. An RTO can only issue certification after they have received your USI.

It is free and easy for you to create your own USI online.

+ What is the USI?

The Unique Student Identifier became a National Government initiative for all students as of the 1st January 2015. Your USI account will contain all of your nationally recognised training records and results, for courses completed from 1st January 2015 onwards. This will assist when you commence employment with a new employer or if you are commencing study with a new training organisation.

Every Allens Training Pty Ltd student is required to have a USI before their certificate can be issued by Allens Training Pty Ltd.

+ How do I apply for a USI?

Applying for your own USI number is relatively easy.

+ I am unable to create my USI by selecting the “Visa (Non-Australian Passport)” option

If you are in Australia as a student or visitor, you will have been issued an Australian VISA. This would have come in the form of a letter, receipt or some written form of advice from the Australian Government confirming the terms of your VISA status. In this case, you will need to enter your personal details exactly as they appear on your VISA notification instead of on your passport. For example, if your name is Neville James Allen, but your VISA notification only lists Neville J Allen – then you should enter Neville J Allen as your personal details into the USI system along with your passport details including your passport number. This should allow you to successfully create your USI. If you continue to have issues, please contact your trainer or Allens Training Pty Ltd directly.

+ I have created my USI and am having trouble creating a valid password for my account

The USI website has a minimum requirement for what your password must contain in order for it to securely protect your records. In order to create a valid password, it must either be:

  • At least nine (9) characters long and contain three (3) of the following character sets:

    • Lowercase letters a-z
    • Uppercase letters A-Z
    • Numbers 0-9
    • Special characters (!,@,#,$,%,^,&,*)

    • For example: P4j6k&24Y

  • OR a minimum of (12) characters from one character set.

    • For example: aeobgujkwtsrt
